steve@yastrow.com - 05 Mar 2006 23:25 GMT My formatting palette, even when I select "All Styles" only shows Headings 1 - 3. How do I add Heading 4 so my table of contents can show that many levels? Add style doesn't seem to work. Thanks.
Beth Rosengard - 06 Mar 2006 04:45 GMT Hi Steve,
I don't get it. With All Styles selected, I see Headings 1-9 on the Formatting Palette. If you go to Format menu> Style and select All Styles from the List pane there, do you see all nine Heading styles? Does applying additional Heading styles (4-9) cause them to show up in the Formatting Palette?
Also, see if testing your Word preferences fixes anything: <http://word.mvps.org/Mac/DamagedPrefs.html>

A style will not be visible in the document until it has been used in that document. An exception is made for Headings 1 to 3.
Go to Format>Style and choose List = All Styles. That will reveal the built-in styles that have not yet been used.
Apply Heading 4, and after that you will see it in the drop-down.
Cheers

Beth Rosengard - 09 Mar 2006 19:54 GMT Hi John,
I'd appreciate some clarification here since this is not my experience at all.
When I open a blank document (based on Normal, whose styles I have not touched except to change my default font to Arial), go to the Formatting Palette and change "Available Styles" (which does indeed show only Headings 1-3) to "All Styles", I then see all nine built-in Heading styles, plus a lot more.

I suspect that you're right, but so is he: you're looking in different parts of the application.
He's in the drop-down on the Formatting toolbar. You're in the Format>Style menu. You have the option to change the view to All Styles where you are, he doesn't where he is.
Depending on the day of the week, I can make an argument either way that this is a "bug" or a "feature" ...
Cheers

Beth Rosengard - 10 Mar 2006 16:51 GMT Not so, John. I'm in the Formatting Palette which also has an All Styles option (in the List pane below the list of styles). Look again.
Steve's original post said: "My formatting palette, even when I select "All Styles" only shows Headings 1 - 3." So he and I are in exactly the same part of the application except that he's seeing something different from me.

My experience seems to be the same as yours. I find Styles listed in 3 locations:
1- Formatting Palette 2- Formatting Toolbar 3- Format>Style - Style dialog box
If I select 'All Styles' in the Formatting Palette all Styles are displayed in its list regardless of whether I have *ever* used them. That list also appears to control what displays in the list on the Formatting Toolbar, so whatever I choose to display there causes the same update in the toolbar list.
The Style dialog box, OTOH, appears to be independently controlled by the list of choices there. Regardless of what is selected in the Palette the Style list in the dialog box remains unchanged & vice-versa. Also, the choice of what to display is different than the choices offered in the Palette's list.
Be all this as it may, the fact remains that, regardless of whether Steve is in the Palette or in the Style dialog, selecting "All Styles" *should* produce exactly that, should it not? The list in the Palette (& toolbar) should only be restricted if the choice for "Available Styles" is selected.

But since Steve seems to have disappeared, we may never get to the bottom of this one.

Paul Berkowitz - 11 Mar 2006 07:44 GMT The "All Styles" option in the Formatting Palette isn't really All Styles - it should be called "More Styles". It has a lot of them (over 100 - they seem to have added some recently), but not all. No TOA or TOC styles, for example.
I suspect the OP (and John too?) didn't know you can switch the "List" popup to (so-called) "All Styles".

Beth Rosengard - 11 Mar 2006 19:18 GMT Yes. It should be called "More Styles". I think we made that point to MSFT a while ago and hopefully they'll fix it someday.
But the OP definitely *did* know you can switch the "List" popup on the Formatting Palette to "All Styles" because he mentioned doing so. His exact words were:
"My formatting palette, even when I select "All Styles" only shows Headings 1 - 3. How do I add Heading 4 so my table of contents can show that many levels? Add style doesn't seem to work. Thanks."

John McGhie [MVP - Word and Word Macintosh] - 11 Mar 2006 21:46 GMT I "know" the list pop-up follows the setting you make for "All styles" on the Formatting Palette>Styles drop-down.
I just didn't feel like typing out the lengthy explanation....
Here we have a setting that is not really a setting, that should be local to the active document, yet is actually a Preference that persists application wide.
Grrrr....
